Ethics and Compliance

Ethics and Compliance - Hotline - 678-213-0242.
The Cobb/Douglas CSB maintains a dedicated, 24-hour hotline to receive employee feedback concerning questionable or illegal conduct. Such feedback is treated as confidential. The reporting employee has the option of identifying him or herself or may choose to remain anonymous. Employees may elect to meet directly with the Compliance Officer (CO) to report such conduct. In addition, employees may elect to bypass the CO altogether and report directly to the Chief Executive Officer (CEO) any such conduct. Appointments with the CO or CEO will be scheduled promptly.

Regardless of the method chosen to report questionable or illegal conduct; the employee is assured that no retaliation will occur for such reporting. Any employee engaging in any act of reprisal for any good faith reporting of suspected violations shall be subject to discipline and/or discharge. It is the intent of the Cobb/Douglas CSB to keep employees who report suspected violations apprised of stages in the investigation of the complaint.
What would be appropriate issues to be reported to the hotline?

The primary focus of the hotline is to identify instances of financial fraud and abuse, or conduct that is out of compliance with applicable state and federal laws, regulations and standards. If you have observed activities that violate any of the above, report it to your supervisor. You are also free to call the hotline if you wish to.
Key elements of the hotline:

• Employees who call or report concerns will be taken seriously. All calls will be acknowledged.
•The call will be confidential.
•All reports will be reviewed by the organization.
• Employees who report suspect behavior will not be retaliated against for making the call.
• It is important for employees to realize that it is not only an option to report such instances but it is a responsibility.
The hotline number is 678-213-0242. Calls will be responded to within 5 working days.

Important Change in Reporting Worker’s Compensation Claims
Not all injuries are reported to the State DOAS

There are two types of employee injuries
         (1) First Aid Only - Does not require emergency room or doctor visit
         (2) Immediate Medical Treatment or lost work days.

First Aid Only Procedure :
         • Very Important – DO NOT Call in DOAS. We will be charged for any claim called in to DOAS that            does not require medical attention.
         • Report the incident immediately to your supervisor.
         • Report the incident to Sharron Jacobs at 770-429-5022 or sjacobs@cobbcsb.com
         • Complete the workers’ compensation “Incident Notice Only” form
         • Complete the “Medical Treatment Waiver” form

If medical attention becomes necessary, contact your supervisor to report concern. The supervisor will call the claim into DOAS. Do not call your own claim in. A case manager will be assigned to you and inform you where to seek medical attention. If you go to your own doctor, do not expect to be reimbursed.

Immediate Medical Treatment Procedure:
         • Report incident to supervisor as soon as possible. The supervisor will call the claim into DOAS. Do not           call your own claim in.
         • If medical treatment can wait for a doctor; a case manager from DOAS will be assigned to you and           inform you where to seek medical attention.
         • If emergency medical treatment is required, go to the nearest emergency room. If a follow up visit is           required, a case manager from DOAS will be assigned to you and inform you where to seek medical           attention.
         • After immediate medical treatment has been sought, contact Sharron Jacobs at 770-429-5022 for           additional information and paperwork that will need to be completed.
